How Rainier Software Solutions LLC collects, uses, and protects information when you visit our website or engage us for services.

Overview

This policy explains what information Rainier Software Solutions LLC (“Rainier,” “we,” “us”) collects through rainier.software and in the course of providing services, how that information is used, and the choices available to you.

It applies to visitors to our website, to points of contact at client and prospective client organizations, and to contractors who hold an account in our contractor portal. It does not govern data we process on a client's behalf under a services agreement, which is handled under that agreement and any applicable data processing terms.

Information we collect

  • Information you submit through our contact form. Your name, work email address, organization, the type of inquiry and timeline you select, and the contents of your message. Submissions are emailed to us and are not published.
  • Engagement information. Details you share while we scope or deliver a project, including technical documentation, requirements, and correspondence.
  • Contractor portal information. If you are invited to our contractor portal, we collect your name, email address, phone number, city, state, ZIP code, country, time zone, job title, biography, skills and proficiency levels, years of experience, desired hourly rate, weekly availability, LinkedIn and portfolio links, and any resume or profile image you upload.
  • Usage information. We use Google Analytics, which collects standard log data including IP address, browser and device type, pages viewed, and referring URL.
  • Technical information. Our contact endpoint records the IP address of a submission briefly, in memory only, to limit repeat submissions. It is not written to a database and is discarded within minutes.

You can block or delete cookies through your browser settings. Blocking the essential cookies above will prevent you from signing in to the contractor portal. You can opt out of Google Analytics across all sites using Google's opt-out browser add-on.

How we use information

  • Respond to inquiries and provide the information you request.
  • Scope, deliver, support, and invoice for services.
  • Administer the contractor portal, including matching contractors to engagements and managing contracts and onboarding.
  • Understand which pages are used, in aggregate, so we can improve the site.
  • Maintain the security and reliability of our systems, including limiting abusive or automated form submissions.
  • Meet legal, tax, and contractual obligations, including federal and state government contracting requirements.

We do not use your information for automated decision-making that produces legal or similarly significant effects, and we do not send marketing email. If that changes, we will update this policy and provide a way to opt out.

Legal bases for processing

Where the GDPR, UK GDPR, or a similar law applies, we rely on the following bases:

  • Legitimate interests for responding to inquiries, aggregate website analytics, and protecting our systems from abuse.
  • Performance of a contract for scoping and delivering services, and for administering contractor accounts and payments.
  • Legal obligation for tax, accounting, and government contracting records we are required to keep.
  • Consent where it is required, such as non-essential cookies in jurisdictions that require prior consent. You may withdraw consent at any time.

Sharing and disclosure

We do not sell personal information, and we do not share it for cross-context behavioral advertising. We disclose it only in the following circumstances.

Service providers. We use the following providers, each bound by contract to protect the information and to process it only on our instructions:

  • Clients and prime contractors. Where a contractor is proposed for or assigned to an engagement, we may share their professional profile with the client or prime contractor for that engagement.
  • Legal requirements. When required by law, regulation, subpoena, or government request, including obligations arising from federal or state contracts.
  • Business transfers. In connection with a merger, acquisition, or sale of assets, subject to this policy.

Data retention

We retain information for as long as it is needed for the purposes described above, then delete or de-identify it.

  • Inquiries that do not become engagements are retained for up to 24 months.
  • Engagement and contract records are retained for at least three years after final payment, consistent with federal contract record retention requirements, and up to seven years for tax and accounting purposes.
  • Contractor portal accounts are retained while the account is active and for three years after the last engagement, after which the profile and any uploaded files are deleted.
  • Analytics data is retained according to our Google Analytics configuration and is not linked to a named individual by us.

Security

We apply encryption in transit and at rest, role-based access control, least-privilege administration, signed and time-expiring URLs for uploaded files, and logging to protect information under our control. Sign-in uses single-use magic links rather than stored passwords. No system is perfectly secure, and we cannot guarantee absolute security.

If a breach affecting your personal information occurs, we will notify affected parties and regulators as required by applicable law, including the Washington Data Breach Notification Act.

Your rights and choices

Depending on where you live, you may have the right to access, correct, delete, or port your personal information, to restrict or object to certain processing, to withdraw consent, and to appeal a decision we make about your request. We will not discriminate against you for exercising these rights.

To make a request, email hello@rainier.software. We will verify your identity before acting and respond within the time required by applicable law, generally 45 days under United States state privacy laws and one month under the GDPR. You may use an authorized agent where the law permits.

International transfers

We operate in the United States and our service providers store data in the United States. If you contact us or use the contractor portal from outside the United States, your information will be transferred to and processed here. Where required, we rely on the European Commission's Standard Contractual Clauses, and the UK Addendum for transfers from the United Kingdom, as the transfer mechanism.

Children's privacy

Our website and services are directed to organizations and working professionals, not to children. We do not knowingly collect personal information from anyone under 16. If we learn that we have, we will delete it. If you believe a child has provided us information, contact us at hello@rainier.software.

Changes to this policy

We may update this policy as our practices or the law change. The updated version will be posted on this page with a revised “Last updated” date. If the changes are material, we will notify affected clients and contractors by email before they take effect.
